How to plan meetings

Even though there are a lot of different factors to take into account when it comes to planning a meeting in Orange County, there are ways to stay organized and keep everything straight even through the most stressful and chaotic of planning times. One of the best ways to keep everything in good order to avoid disasters or mishaps is to have a checklist with you to help. Nothing helps more than writing things down, no matter what you have been hired to help with for the meeting.

The first thing you will need to do is select the room and the accommodations in which you want the event to take place. Be sure that it is some place that is easy to find, easy to access and easy to maneuver through in order to accommodate all kinds of guests who may be attending. This is especially important if you might be having disabled attendees at the event. Think about everything that people are going to need to be comfortable, including things like temperature and the location of restrooms, for example. Is there anywhere for people to hang their jackets, set down their briefcases or put their bags that is convenient?

If you are in charge of organizing a meeting in range County you will need to figure out what types of equipment will be needed. Are you going to need A/V equipment for presentations or speakers? Will you need screens, microphones, podiums, or speakers? Be sure that you test all of that equipment right before the event starts to make sure that everything works! If possible, have some kind of tech specialist on hand during the meeting just in case you need help!

Be sure that you have all kinds of supplies that you might need for your event, including paper, pencils, pens, name badges and the like. Are you going to need handouts or printed materials? If you do, be sure that you order them in more than enough time to get them redone in case of some error being made with them.

Finally, please make sure that you are going to have plenty of other people to help you with anything and everything. Have someone on stand by to show people where to put their things, have some people available to answer any situational questions that your attendees might have, and have help to distribute materials, register attendees, and someone to keep you sane as you plan your Orange County meeting!
